How to choose mobile mechanic software (and what to skip)
Most software sold to mechanics was built for a shop: a front counter, a service advisor, bays and a parking lot. A mobile mechanic has none of those. Your front desk is your phone, your bay is a customer’s driveway, and your service advisor is you, between jobs, in the driver’s seat. So the question is not “which shop system has the most features”. It is “which system runs the parts of my day that happen away from a desk”.
Here is what we look for, having run 160,000+ repair jobs on the same engine.
1. It has to answer the phone when you can’t
For a mobile operator, the phone is the business. Industry data says 55% of calls to auto shops go unanswered (Invoca), and 68% of callers who reach voicemail don’t call back (Marchex). Mobile mechanics miss more, not fewer, because the person who answers is the person holding the wrench.
Voicemail and callback apps don’t fix this. A customer with a car that won’t start calls the next number on the list. What works is a receptionist that actually books: it knows your services and prices, your service area and your open slots, and it can say “Wednesday 7:45 AM, $389 to $549, you’ll get a text” and mean it. Ask any vendor to let you hear a real booked call, not a greeting.
2. Dispatch should pick the right tech, not the closest dot
Once you have more than two vans, the most expensive decision of the day is who goes where. Nearest-tech rules send your brake specialist to a battery swap and your battery tech to a brake job. Good dispatch weighs distance, skills and certifications, what each tech already has booked, and what the job is worth. It should show its reasons in plain words, and it should let you override with one drag.

3. GPS is not about spying. It is about proof.
Owners tell us they don’t know what happens between jobs. Techs tell us they get blamed for things they didn’t do. GPS proof settles both. An arrival marked by a geofence at the customer’s address, a time on site and before and after photos protect the tech in a dispute and protect you from the rare tech who pads his day. It also powers the texts your customers actually want: “Marcus is 12 minutes away.”
Look for automatic arrival detection (not a button the tech forgets to press), a quiet alert when a van sits still too long, and photos attached to the job, not to someone’s camera roll.
4. Get paid before the van drives off
Mobile work has a payment problem shops don’t: the job ends in a driveway, and the customer may not be home. Text-to-pay links, tap-to-pay on the tech’s phone, and a proper ledger for cash are the minimum. The ledger matters more than it sounds. When a tech collects cash, the system should know who holds it and net it against their payout, so you are not reconciling envelopes on Sunday.
5. The service record is your repeat business
A shop has a building customers remember. You have a van they saw once. A digital service record per vehicle, with photos, the parts installed, warranty and the next service due, gives the customer a reason to call you again, and gives you a reminder to send when the next oil change is due. What to skip
- Per-seat pricing that punishes growth. You should pay for techs doing work, not for the office manager logging in.
- A bay scheduler pretending to be dispatch. If it doesn’t know where the vans are, it isn’t dispatch.
